We are an Australian business and primarily provide services to Australian customers. This policy is intended to align with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

Information you provide to us

We may collect personal information that you voluntarily provide, including:

  • Photos, videos and other content captured through our photo booth at events
  • Payment and booking information (including where we send quotes/invoices via third-party payment providers; we do not store full card numbers)
  • Guest contact details provided during an event (e.g. if a guest chooses to send themselves photos via SMS or email)

When you visit our website, we may automatically collect certain information, including:

Cookies, analytics and advertising

We use cookies and similar technologies to help our website function, understand how it is used, and promote our services.

  • Google Analytics (website analytics) to measure and report on website usage.
  • Microsoft Clarity (user behaviour analytics) to understand how visitors interact with our website through session recordings and heatmaps.
  • Google Ads (advertising) to promote Shutter Share and to measure the performance of our ads (which may include conversion tracking and remarketing).

Google may collect information such as your device identifiers, approximate location, browsing activity and interactions with our site. Microsoft Clarity captures how you use and interact with our site through behavioural metrics, heatmaps, and session replay. Spam protection (reCAPTCHA)

Our contact form uses Netlify Forms and may use Google reCAPTCHA to prevent spam and automated submissions. When enabled, reCAPTCHA collects information about your device and browsing behaviour to detect bots and malicious activity.

We act as the data controller for reCAPTCHA, and Google processes this data solely for the purpose of providing, maintaining, and securing the spam prevention service. The data is not used for profiling, advertising, or any other purpose. reCAPTCHA is provided as part of Google Cloud services under the Google Cloud Data Processing Addendum.

How We Use Your Information

We use collected information to:

  • Provide and improve our services

  • Send our email newsletter where you have opted in (via Beehiiv)

Sharing Your Information

We do not sell your personal information. We may share your information with trusted third parties where needed to provide our services, including:

  • Netlify (website hosting and Netlify Forms contact submissions)
  • Google (Analytics and Ads on our website, and reCAPTCHA spam protection on our forms)
  • Microsoft (Clarity user behaviour analytics on our website)
  • Booth.Events (photo booth software platform, online gallery hosting, and delivery of event photos/videos — processes all booth interactions including photos, videos, and guest data entered during events; hosted in Canada)
  • Stripe (payment processing, and sending quotes/invoices — see Stripe Privacy Policy and Stripe legal terms)
  • Snap Booking (booking and rental management — under development; if we use it for your booking, it may receive your booking details)
  • Beehiiv (email newsletter platform — if you subscribe to our newsletter, your email address and engagement data are processed by Beehiiv; see Beehiiv Privacy Policy)
  • Gleam (competition and giveaway platform — if you enter a promotion we run via Gleam, it may collect your name, email address, and social actions; see Gleam Privacy Policy)
  • Professional advisers (e.g. accountants or legal advisers) as reasonably necessary
  • Legal authorities when required by law

Overseas disclosure

Some of our service providers may store or process information outside Australia (for example, Booth.Events hosts galleries in Canada, and other providers may operate globally). Where we disclose personal information overseas, we take reasonable steps to ensure it is handled in a way that is consistent with this policy and Australian privacy expectations.

Email newsletter (Beehiiv)

We use Beehiiv to manage our email newsletter. When you subscribe to our newsletter — either through the subscription form on our website or by opting in when submitting a contact or quote enquiry — your email address is shared with Beehiiv for the purpose of sending you marketing communications such as photo booth tips, event inspiration, and exclusive offers.

Beehiiv may collect information such as your email address, IP address, and engagement data (e.g. open and click activity) to operate the newsletter service. Photo and Video Usage

Photos and videos taken at events may be used for:

  • Delivery to event hosts and guests
  • Our portfolio and marketing (where consent has been obtained)
  • Social media promotion (where consent has been obtained)

If you do not wish your event photos to be used for marketing purposes, please inform us at the time of booking.

Where consent is managed at the booth (for example, where guests can choose whether their content may be used for promotion), we will respect those choices. We may also request consent from you (as the event organiser) for showcasing content from your event.

Guest sharing via SMS/email

Guests may choose to enter an email address or phone number to send themselves content from the booth (e.g. photos, GIFs or videos). Where guest contact details are collected, they are used for delivery of that content and for operating the booth service.

Photo booth data collection and surveys

If photo booth data collection or surveys are enabled for an event, guest information will be collected by Booth.Events and shared with the event organiser. This may include contact details, survey responses, and other information that guests choose to provide during the event. The event organiser is responsible for how they use this information once shared with them.

Marketing communications

We may send marketing communications about our services (for example, updates or offers) where you have requested them or where permitted by law. Our email newsletter is managed by Beehiiv. You can opt out at any time by using the unsubscribe link in any newsletter email or by contacting us.

In some cases, guests may provide contact details during an event (such as for delivery of their content). We may keep the option open to use those details for marketing in future, but if we do, we will only do so where we have appropriate consent and an easy opt-out mechanism.

Data Retention

We keep personal information only for as long as we need it for the purposes described in this policy, unless we are required or authorised by law to retain it longer. For example, our online galleries are generally available for around 3 months after an event. You are responsible for downloading and saving your copies.

Data Security

We implement appropriate technical and organisational measures to protect your personal information. However, no method of transmission over the Internet is 100% secure.

Data Breach Notification

In the event of a data breach that is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches (NDB) scheme. We will take reasonable steps to contain and remedy the breach and to prevent similar breaches in future.

Children's Privacy

Our services are provided at events organised by adults, and we do not directly market to or knowingly collect information from children. However, children may attend and use the photo booth at events (including events specifically organised for minors, such as 16th birthday parties, school formals, or youth group events).

As set out in our Terms and Conditions, the event organiser (who must be 18 or over) is responsible for obtaining all necessary parental or guardian consents for minors participating in photo booth activities at their event. Guests under 18 must have parental consent and supervision, and children under 12 may not operate the photo booth controls.

When children use the photo booth, the same types of information may be collected as for adults (photos, videos, and contact details if entered for content delivery). We do not differentiate between data collected from children versus adults in our systems. We rely on the event organiser to have obtained appropriate consents from parents or guardians before minors participate.

Your Rights

Under Australian privacy law, you have the right to:

  • Access your personal information
  • Correct inaccurate information
